Cash remaining is not necessarily uncommitted budget; explain approved future payments separately from provisional plans.
Report unspent GPU pilot funding through a reconciliation of received funds, paid expenses, approved commitments and provisional estimates. Cash in the account is not automatically free for another purchase when some of it already supports an agreed order.
This record helps participants discuss the next stage of GPU purchase and operation. It does not establish terms for returning or reallocating funds; those decisions follow the arrangement agreed for the particular project.
Set a reporting cutoff
Choose the date and time covered by the report. An invoice paid the next day should not silently alter an earlier version. Preserve the dates of receipt, approval and payment because they answer different questions.
FinOps forecasting links updated expectations to actual data and assumptions. For a pilot, explain why a new invoice, measurement or schedule change alters the expected spending need. Keep the earlier baseline available for review.
Separate financial states
The following figures are invented currency units and illustrate only the reconciliation.
| State | Illustrative amount | Evidence |
|---|---|---|
| Funding received | 100 | Receipt record |
| Operating expenses paid | 35 | Invoice and payment |
| Approved order awaiting payment | 20 | Order confirmation |
| Provisional future estimate | 15 | Working calculation |
| Cash remaining | 65 | Cash reconciliation |
After paid expenses and the confirmed order, 45 units remain before new decisions. The provisional 15 describes a possible need; it should not silently acquire the same status as an approved order.
Explain the operational result
Lower spending can mean an efficiency improvement, a delayed experiment or less work completed than intended. Record what the stage established, what remains unknown and which tasks were cancelled. Spent less is not a sufficient explanation on its own.
FinOps planning and estimating helps keep future estimates separate from actual charges. Record each revision with its cause instead of overwriting the original worksheet without a history.
Present reviewable next steps
Possible decisions include completing the stage, repeating a measurement, revising the configuration or preparing a new budget. Each needs a purpose, spending boundary and responsible approver. Silence should not be interpreted as permission for a new order.
Keep unresolved invoices separate with a review date. Link evidence directly rather than attaching a large conversation archive in place of a reconciliation.
