Cash remaining and uncommitted budget differ; track approved future payments before planning another purchase.
A GPU pilot payment calendar should separate when work happens, when an invoice arrives and when payment is due. Track confirmed commitments alongside paid expenses so the visible cash balance is not mistaken for a freely available purchase budget.
This is a planning record for funding GPU purchase and operation. It does not define repayment, ownership or other commercial terms between participants.
Separate payment from delivery
For each expense, record the purpose, supplier or responsible party, expected delivery, evidence of completion and payment status. A hardware order can create an upcoming payment before a server is ready to run. Conversely, some work may finish before its final invoice arrives.
FinOps budgeting and forecasting distinguish planned resources, actual expenditure and updated expectations. Apply that distinction to the pilot without claiming that a general framework determines the participants’ financial arrangement.
Keep a dated register
| Field | Why it is needed |
|---|---|
| Expense reference | Connects the calendar to evidence |
| Planned work date | Shows operational timing |
| Invoice status | Distinguishes estimate from document |
| Approved commitment | Identifies funds already assigned |
| Payment date and status | Supports the cash timeline |
| Next review | Makes uncertainty actionable |
Do not silently turn an estimate into an approved order. A change in status should have a date and responsible person, even for a small project using a simple worksheet.
Show what the balance includes
In a hypothetical example, a pilot receives 100 units of funding and pays 40. Another 35 relates to a confirmed future payment. The visible cash remainder is 60, but it is not an uncommitted 60 available for an additional purchase.
Keep planned but unapproved expenses separate again. They describe possible future need and should not automatically be treated as a settled obligation.
Update the forecast after real events
Revise the calendar when a delivery moves, an experiment ends early or an invoice clarifies a previously unknown charge. Preserve the previous version and explain the cause. An updated total without a change history makes review harder.
Set the next decision point before the current stage exhausts its operating window. The discussion should use the completed technical result, remaining questions and revised spending need, rather than the passage of a date alone.
